Make paying easy
The single best rent collection strategy is removing friction. Tenants pay on time when paying is easy and the due date is obvious.
A simple system
- One due date, every month. The first is clearest.
- One payment method. Online transfer preferred; it's trackable and automatic.
- A written reminder three days before, automated if your software allows.
- A clear late policy that you actually follow.
When rent is late
- Day one late: a friendly reminder. Life happens.
- Day three: a firmer message referencing the lease's late fee.
- Day five to seven: a formal notice per your state's process.
Document each step. A paper trail protects you if eviction becomes necessary.
What not to do
- Don't accept partial payments without a written agreement — it can reset the eviction clock in some states.
- Don't waive late fees informally; it teaches the tenant they're optional.
- Don't let a tenant get a month behind and then two. One month is a problem; two is a crisis.
Consistency is the whole system. Apply the same rules every month to every tenant.
