Guests decide how they feel about a stay mostly from how you communicate. The good news: you can systemize it.

The four messages that matter

  1. Booking confirmation — sent within an hour. Confirm dates, check-in method, and that you are one message away.
  2. Check-in instructions — sent 24 hours before arrival. Clear, with photos if the entrance is tricky.
  3. Mid-stay check-in — a single short message on day two: "Hope you're settled — let me know if you need anything."
  4. Checkout + review request — sent the morning of checkout, with simple instructions and a gentle ask for a review.

Speed beats polish

A reply in five minutes that says "checking on that now" beats a perfect reply in two hours. Acknowledge first, solve second.

Templates, not scripts

Keep saved templates for the common questions, but personalize the first line. Guests can feel a form letter.

The one rule

Never let a guest wonder whether you saw their message. Even "I'll have an answer for you by tonight" is communication.
